Groups, Reunions and Retreats on Chincoteague Island
EVERYONE UNDER ONE ROOF
The Refuge Inn is a 72-room hotel on Chincoteague Island, on Virginia’s Eastern Shore, owned by the same family since 1973. We put your group’s rooms near each other, deliver breakfast to every door in the morning, and hand you the key to a meeting room with a full kitchen and a screened porch. Some of our groups have been coming so long that when they check out, we just say, “Same time next year?”
A family that hosts

We have been holding our own gatherings here since the hotel was built — staff meetings, community meetings, family reunions, birthday parties, and more than a few weddings. Over the years we have gained first-hand knowledge of what it takes to host a successful group or event. Your group benefits from those decades of experience — and from the time we learned the hard way that two serving spoons is simply insufficient for a thirty-person potluck barbecue.
What we do for groups

Room blocks of ten or more at a discount, seasonally
Rooms near each other, on request
Ground-floor rooms with parking-lot access, on request
Direct billing, arranged when you book
The Chincoteague Island per diem rate for federal, state and contract workers

The meeting room, with a full kitchen and a screened porch
Book a group by calling the front desk on (757) 336-5511 rather than through the website. We can lay the rooms out properly and sort the block rate in the same call.
Staying here as a group
We have 72 rooms over two floors. Our deluxe rooms sleep four in two queens, or two in a king. The Veranda Suite is 900 square feet with a full kitchen and sleeps six. The Pine Suite is 700 with a wet bar kitchen and sleeps five, or six with a cot. Every room type is on the rooms and rates page.
The Veranda Suite makes a good home base for a family. Grandparents host and the younger families take regular rooms, or the other way round. Suites encourage togetherness without the formality of a meeting room.
We have no elevator. Rooms 135 and 136 are accessible, and we can put anyone who needs it on the ground floor with easy access to the car outside the door — ask when you book rather than when you arrive. You will find more on our accessibility statement.
The meeting room

The meeting room seats 30 for a sit-down dinner, or 40 with just chairs. It has a large screened-in porch, free wifi, an 80-inch TV with HDMI, and a screen if you would rather run a projector the old way. The kitchen is a real one: full-size refrigerator and freezer, oven, stove, microwave, coffeemaker and a double sink. Wheelchair-accessible restrooms are across the hall, with a changing table.
Cook in it, have it catered, or fire up one of the hibachi grills outside — whichever suits your group. A $250 security deposit is required before the key is released.
The room books a long way ahead, so call before you set your dates. Groups not staying with us can rent the conference room for a fee, though guests just using the conference room do not have access to the pool or other guest amenities.

Groups we’ve hosted
Family reunions and celebrations

The meeting room is what makes a reunion work — a place to eat together, a kitchen for whoever has always done the cooking, and a screened porch for people who want to enjoy the fresh air. Birthdays and anniversaries land here for the same reason. If the reunion brings children, our families page covers what there is for them to do.
Church retreats
Retreat groups take the room for a weekend and let the island do the rest. It is quiet out of season, and there are plenty of places to witness the wonders of creation — the refuge gate is a quarter mile from the front door.
Business retreats and trainings
Teams come out for planning sessions and training weeks. The room takes thirty around tables or forty in chairs, with the television, the projector screen and the wifi for the working part of the day, and direct billing so nobody goes home to file an expense report. We honor the Chincoteague Island per diem rate for federal, state and contract workers.
Schools and student programs

We take school groups. Green Acres School brings its seventh graders every spring for a two-day outdoor-focused field trip that is the highlight of their year.
We also host the RockOn and RockSat student launch programs, which fly student-built experiments out of NASA’s Wallops Flight Facility just off the island. They have been based here for decades, and come for a week twice each summer to finalize their builds and launch their rocket. While they are here the meeting room becomes a rocket science laboratory, and we love celebrating with the student teams after a successful launch and project recovery.
Birding and outdoor groups

The Virginia Society of Ornithology has come every September since we opened in 1973, and their Friday afternoon Meet-and-Greet on the back lawn has become part of the trip. New Jersey Audubon comes in November. Both are quiet months on the island and busy ones for migrating birds on the refuge, which is the whole point. We keep a month-by-month birding guide and a record of every species heard on the property.
Hunting parties and fishing groups book the same way. More is on the fishing and hunting page.
Casual wedding receptions
We host casual wedding receptions of thirty or fewer — a small, DIY venue, not a full-service ballroom. The kitchen and the screened porch do most of the work — a caterer sets up in one and the party spills onto the other — and the wedding party can take a block of rooms, so nobody is driving anywhere afterward.
Workshops and classes

Workshop leaders book here too. A plein air painting workshop runs out on the lawn and the marsh, with the meeting room for the indoor sessions and the meals. If you run a class or a workshop and need somewhere a group can spread out for a few days, we will hold the rooms and the meeting room together.
Between sessions

Whatever brings your group here, the day is bound to have some gaps in your programming. The pool is outdoors during the summer, and indoors and heated all winter. There is also the ever-popular hot tub, sauna and fitness room. A marsh observation platform on the grounds and a rooftop deck above the rooms both look out over the water. The lending library is in the second breezeway and board games are at the desk. The Bike Depot next door rents by the hour or the day and has group rates, and our own ponies are in the pasture across from the rooms.
Beyond the property line are the refuge and Assateague, the wild ponies and the rest of the island. We wrote up what is within walking distance, for groups who would rather not pile back into the van. We have also written up a few suggested itineraries — a midweek trip, a visit in the fall, and even a super-specific forty-eight hours in October if your group only has a weekend.
When to come

We have the most room midweek and in the shoulder seasons. Spring and fall midweeks are the easiest dates to hold a block on, and they are the best weather we get. We have written up a spring midweek, a fall one, and forty-eight hours in October if your group only has a weekend.
Call the front desk with two or three possible dates and we will tell you which one leaves your group the most room.

Groups, in their own words
The Inn was great and the staff was friendly and helpful. Rented three rooms for the family and it worked out great for all. The breakfast served to the room was good. The staff provided good recommendations for food and a boat company to take us to see the wild ponies.

Great location. So many good eateries nearby. So much nicer than a hotel chain. Stayed in the smaller suite (room 300) which was perfect for our small family reunion. The mini kitchen was perfect for us. We all had a really good time. And we loved petting the ponies and also the view from the observation deck.

The rooms were clean and the staff very friendly. Enjoyed relaxing in the pool and hot tub. The close proximity made it easy for the members of our group to choose different activities.

We went to Chincoteague with a birding group. This is our second year visiting and the Refuge Inn is the best as always. I am looking forward to next year already! Thank you again

The Friday afternoon Meet-and-Greet Happy Hour on the back lawn of the Refuge Inn has become a favorite tradition. It’s always a joy to welcome first-timers, catch up with longtime friends, and feel the anticipation for the birding ahead.
